How to Manage Your Inbox Site's Team

Invite colleagues to join your newsroom's Inbox site, choose their roles, resend or approve pending requests, and deactivate members who leave, all from the Team members tab in your site's admin app. This page also explains how your colleagues' Wire and Inbox accounts relate, so you know who needs a new account and who can just sign in.

Before You Begin

You must be an Owner or a Manager of your site's organization to follow this guide. Team members with the Member role won't be able to invite or manage others. Ask your site's Owner if you're not sure which role you have.

You will need:

One Plucky account, separate memberships

Wire and Inbox share a single sign-in: the same email address and password work on both (see How Inbox Works). Memberships are separate, though. A team invitation adds your colleague to your site's organization and nothing else: it does not grant or change any role on Wire, and a colleague with a Wire account cannot see your site's admin app until you invite them here. Wire roles are managed on Wire (see How to Manage Members). The one exception is whoever set up your site: setup made them the site's Owner and granted them admin access on Wire in the same pass.

Your site's organization has three roles you can assign:

  • Owner: full control of the organization, including the team and (once payments are enabled) billing.
  • Manager: runs the day-to-day: manages the team and works the Review Queue, but not billing.
  • Member: can create and edit submissions, but cannot manage the team, work the Review Queue, or change organization settings.

Instructions

Open the Team Members Tab

  1. Sign in at your site's address and open the admin app at /app/.

  2. Click Settings, then the Team members tab.

    The tab lists your Active members, plus Pending invitations and Pending join requests sections whenever there are any.

Invite a Team Member

  1. Click Invite member. A pop-up window (a modal) titled "Invite team member" opens.

  2. Enter your colleague's Email address. If they already have a Plucky account (on Wire or Inbox), use the address that account is registered under, so the invitation attaches to it.

  3. Pick a Role: Member, Manager, or Owner.

  4. Click Send invitation.

    The invitation appears under Pending invitations with its email, role, and sent date.

Warning

Owners have full control of your site's organization, including managing every other member. Only assign the Owner role to people you intend to give that control.

Resend a Pending Invitation

Invitations expire 14 days after they are sent.

  1. In the Pending invitations section, click Resend in the invitation's row.

    A fresh email goes out to the same address, with the same role.

Approve or Decline Join Requests

When someone registers on your site and asks to join your existing organization instead of creating a duplicate one, their request lands in the Pending join requests section.

  1. Review the requester's name and email.

  2. Click Approve to add them to the team, or Decline to turn the request down.

Change a Member's Role or Deactivate Them

  1. In the Active members section, click Manage in the member's row.

  2. Choose an action from the menu:

    • Promote to Owner (for non-Owners) or Demote to Member (for Owners).
    • Deactivate to end their access. A confirmation prompt asks "Are you sure you want to deactivate this member?"; click OK to confirm.

Warning

Deactivating a member immediately ends their access to your site's admin app. Their Plucky account itself is untouched, and any roles they hold on Wire are unaffected. To restore them later, send a fresh invitation.

What Happens Next

  • Your colleague receives an email with the subject "You've been invited to join [your organization]", naming their role and carrying an acceptance link that expires in 14 days. Once your site's email sending is verified, the invitation comes from your site's own sender address and carries your support contacts and footer; until then it comes from the platform.
  • If they already have a Plucky account, the link shows "We found an existing account for [their email]. Sign in and we'll add you to the team automatically." The password they already use, including on Wire, signs them in here. In fact, any pending invitation is claimed automatically the next time its recipient signs in on your site.
  • If they don't have an account yet, the link says so and walks them through creating one. As long as they register with the invited email address, they're added to your team when they first sign in.
  • New members land in your site's admin app with the access their role grants: Owners and Managers can manage the team and work the Review Queue, while Members work on submissions. Nothing changes for anyone on Wire.

Troubleshooting

  • I don't see the Team members tab or the Invite member button: You need the Owner or Manager role in your site's organization. Ask an Owner to promote you or send the invitation for you.
  • My colleague's invitation link says it couldn't be verified: The invitation has expired (14 days) or was already used. Click Resend in the Pending invitations section to send a fresh one.
  • My colleague created an account but never joined the team: They probably registered with a different email address than the one you invited. Invitations attach by email. Send a new invitation to the address they actually registered with; it will be claimed the next time they sign in.
  • My colleague has a Wire account but can't get into the site: A Wire account alone doesn't include your site's admin app. Invite them from the Team members tab; once they accept, the same email and password they use on Wire signs them in here too.
  • I want to give an existing member the Manager role: The Manage menu on an existing member only offers Promote to Owner or Demote to Member. To make someone a Manager, set the role when inviting them; for an existing member, deactivate them and send a fresh invitation with the Manager role.
