How to Submit a Calendar Event

Submit a calendar event to local newsrooms so it can appear in their online event calendars.

A Note About Early Access

While Inbox is in early access, you won't be asked to pay anything: every target shows a green "Free during beta" badge instead of a price, and no payment step runs. Neither submitters nor newsrooms are charged during early access. We really appreciate your help improving the platform.

Start a Calendar Event Submission

  1. Sign in and open your dashboard at https://inbox.pluckyworks.org/app/.

  2. Click + New Submission in the navigation bar.

  3. A pop-up window called a modal asks "What would you like to submit?". Click Calendar event, "A one-off or recurring event for outlet calendars."

Fill Out the Event Details

Fill in the What, When, Where, and Details sections to describe your event.

What

Field Required? What to enter
Event name Required The public title of your event.
Event URL Optional A link to your event's webpage, ticket page, or registration form.

When

Field Required? What to enter
Start date and time Required When the event begins.
End date and time Optional When the event ends. If omitted, only the start time appears.
All-day event Optional Check this if the event runs all day and has no specific start or end time.

Where

Field Required? What to enter
Venue name Optional The name of the location (e.g., "City Hall Auditorium").
Address Optional The street address.
City, State, ZIP Optional The city, state, and ZIP code.

Details

Field Required? What to enter
Description Optional A short summary of the event: what it is, who it is for, and any admission or registration requirements.
Organizer Optional The name of the person or organization running the event.
Contact email Optional A public email address for event inquiries.
Contact phone Optional A public phone number for event inquiries.
Admission Optional Whether the event is free or has a cost.
Category Optional A category that helps newsrooms classify the event in their calendar (e.g., Arts, Community, Sports).

Set Up Repeating Events

If your event happens more than once, use the Repeats section to describe the schedule. Skip this section for one-time events.

  1. Open the Repeats dropdown and choose a preset (Daily, Weekly, Monthly, or Annually), or choose Custom to build a schedule manually.

  2. If you chose Custom, set the frequency, the days or dates it falls on, and the end condition (after a number of occurrences, or by a specific end date).

  3. Review the upcoming occurrence list that appears below the settings. Each occurrence is listed with its date and time.

  4. To remove a single occurrence from the schedule, such as a holiday you'll skip, click Cancel next to that date in the list. The rest of the schedule is unchanged.

  5. To change the time or details of a single occurrence, click Edit next to that date, make your changes, and save. Only that occurrence is affected.

Add Photos

You can attach up to 10 photos to give newsrooms images to display alongside your event.

  1. In the Photos section, click the file picker, a form field labeled Photos (up to 10), and select one or more image files from your computer. You can select multiple files at once.

  2. After each photo uploads, enter a Caption describing the image and a Credit naming the photographer or source. Both are optional but help newsrooms use the photo correctly.

  3. Repeat to add more photos, up to 10 total.

  4. Use the Up and Down buttons next to each photo to reorder them. The first photo in the list is used when a newsroom chooses to display only one photo.

Submit for Review

  1. Review everything you've entered, then click Continue to choose where to send the event.

  2. Check the boxes next to the newsrooms you want to receive the submission. You can select one newsroom or several.

  3. If a payment is required to submit to a particular newsroom, a payment prompt appears before the submission is sent. Complete the payment to proceed.

  4. Click Submit. Your event is sent to the selected newsrooms for moderation review.

What Happens Next

Each newsroom you selected receives your submission in their moderation queue. An editor reviews it and either approves or declines it. You receive an email when a decision is made.

If an approved event needs a correction, you can edit it and resubmit. The corrected version re-enters the moderation queue. While it awaits review, the already-approved version remains live in the calendar; the correction replaces it only after an editor approves the update.

Troubleshooting

  • I can't find the Calendar event option in the submission chooser: Your account may not have calendar event submission enabled. Contact support@pluckyworks.org to check your account's permissions.

  • An occurrence I cancelled is still showing in the preview list: Reload the page. If it still appears, try removing the occurrence again and saving.

  • My photo won't upload: Check that the file is a JPEG, PNG, GIF, or WebP image. If the file is very large, try reducing its size and uploading again.

  • I submitted to the wrong newsroom: Contact support@pluckyworks.org and include the event name and the newsroom you submitted to. Submissions that have not yet been reviewed can be withdrawn.
