How to Set Up Your Events Portal

Set up your newsroom's Events portal — the public website with a page for every event and a page for each of your calendars — by choosing its name, logo, theme and links, how long past events stay, and which links to share.

Before You Begin

You will need:

  • An Events portal for your newsroom. Ask Plucky staff to turn it on.
  • Permission to manage your newsroom's calendar settings.

Note

If Events portal or Settings is missing from the editor, or a page says your portal is not ready, contact Plucky support.

Instructions

Check your portal and share its subscriptions

  1. In the editor, open Calendar, then choose Events portal. If you belong to several newsrooms, choose the one you want.

  2. Check the Status card. Live means readers can visit the portal. The card also shows the portal's main address, how many upcoming events and calendar pages it has, and how long past events stay.

  3. To see the portal as readers do, select View Events portal. It opens in a new tab.

  4. To share a calendar subscription, find Calendar subscriptions and select Copy beside the calendar you want. Readers paste that address into Google Calendar, Apple Calendar or Outlook.

  5. Use the Finish setting up card to see what is still missing, such as a logo or a newsroom homepage link. Each unfinished item links to the place where you add it.

The Portal appearance editor fills the whole window: the settings are on the left and a live preview of your real portal is on the right. Nothing changes on your portal until you save.

  1. Open Account at the top right of the editor, then choose Settings.

  2. In the Events portal group on the left, choose Portal appearance. You can also select Edit appearance on the Events portal page.

  3. Select a numbered card — 1 Header, 2 Theme or 3 Footer — to open it. The same numbers mark those parts of the preview, and you can click any part of the preview to open its card.

  4. Make your changes. The preview updates a moment after you stop typing.

    Field Required? What to enter
    Display name Required The name readers see at the top of every page.
    Newsroom logo Optional Select Choose a logo, then a PNG, JPEG or WebP image up to 2 MiB. Wait for Logo ready. Save appearance to apply it. To take a logo off, select Remove logo.
    Newsroom homepage Optional A full address starting with https://. It appears as "Visit the newsroom".
    Submit an event link Optional A full https:// address. It appears as "Submit an event". Leave it blank to hide the link.
    Brand color Required A color such as #174A6E. It is used for buttons, links and filter chips; Plucky adjusts text colors so readers can read them. Select Reset to default to go back.
    Typography Optional System font (the default) or Serif headings.
    Spacing Optional Comfortable (the default) or Compact, which tightens the space inside event cards.
    Corners Optional Rounded (the default) or Square.
    Footer text Optional A short line shown at the bottom of every page.
    Footer links Optional Up to five links, each with a label and an https:// address. Select Add link for another row or Remove to delete one.
  5. To check how an event looks, select Event page above the preview. Then use the Showing menu to pick an event, such as one With photos or one that is Cancelled, or search for it by name. You can also click an event title in the Events list preview. Select Desktop or Phone to check both sizes.

  6. Select Save appearance. The editor shows Portal appearance saved.

    The Brand color, Typography, Spacing and Corners choices apply to your Events portal and to all of your embedded calendars. Embedded calendars can take up to 15 minutes to show saved changes. After that, reload the page that holds the calendar to see them.

To leave the editor, select ← Settings. If you have unsaved changes, the editor asks first; choose Stay on this page to keep working or Leave without saving to discard them.

Set the timezone and how long past events stay

  1. Open Account, then Settings.

  2. In the Calendar group, choose Dates and archive.

  3. Choose a Calendar timezone. Common US timezones are listed first. It is used for events that don't list their own timezone.

  4. Under Keep past events for, enter a number and choose months or years, or select Forever.

  5. Select Save dates and archive.

Find your portal's web addresses

  1. Open Account, then Settings.

  2. In the Events portal group, choose Web addresses. The list shows your Primary address and whether each address is Live, Waiting or Needs attention.

Plucky staff manage these addresses. To add or change one, contact Plucky support.

Share an event page

  1. Open the event in the editor and find On your Events portal.

  2. Open the date you want to share and copy its address from the public page. A recurring event has a separate page for each date; use More dates if the editor shows only part of the series.

To link to a whole calendar, open the calendar in Calendars and select View on Events portal under Exports.

Update an event's web address after a title correction

Changing an event's title keeps its existing web address. If you want the words in the address to match the corrected title:

  1. Save the title correction and wait until it appears on the public page.

  2. In On your Events portal, open Update web address.

  3. Check the proposed address, then select Update web address for all published dates.

Old links keep working: they redirect to the new address.

What Happens Next

  • Appearance: readers see your new name, logo, color and links on every page of the portal after it finishes updating, usually within a few minutes. While it updates, the Events portal page says Updating with your latest settings….
  • Past events: a shorter period removes older event pages from the portal; a longer one can bring eligible past events back. The count starts when each event ends. Events with no end date are always kept.
  • Subscriptions: readers' calendar apps pick up changes on their own schedule. Subscriptions cover the previous month through the next twelve months.

You can change any of these settings again later from Account → Settings.

Troubleshooting

  • The preview says "available once your portal is live": your portal isn't turned on yet. Ask Plucky staff to finish setting it up; you can still save your appearance.
  • The preview stops changing while you type a color: the color isn't complete yet. The preview keeps the last good version until you finish, for example #174A6E.
  • "These settings changed in another tab": someone saved settings after you opened the page, perhaps you in another tab. Your entries are kept. Check them, then save again to apply them.
  • A field is outlined in red after saving: read the message under it. Addresses must start with https://, and each footer link needs both a label and an address.
  • The logo upload fails or your logo is rejected when saving: upload the logo again and save within 20 minutes. Your previous logo stays in place until you save a new one.
